OOO vs OOS: document room blocks and return to service

L’essentiel
Key takeaways

Choosing OOO or OOS starts with checking what each status actually does in your PMS. The expected length of a repair is not enough. Record whether the room can still be assigned, who approves the block, when it will be reviewed and what evidence permits release. The proposed decision record below coordinates front desk, maintenance and housekeeping while keeping repair completion separate from readiness to accommodate a guest.

OOO vs OOS: hotel room blocks and return to service

Key points

  • Verify the inventory effect in the property’s actual PMS.
  • Give every block a decision owner and review deadline.
  • Separate technical completion, room preparation and release approval.

OOO and OOS: verify the effects before choosing

OOO stands for Out of Order; OOS stands for Out of Service. To choose, verify two effects in your PMS: whether the room can be assigned to a reservation and whether it remains in saleable inventory. Record the code for each operational decision: “assignment prohibited” or “assignment possible under the conditions agreed by the hotel”. Have the administrator confirm this mapping, including any custom statuses.

Do not simply translate OOO into “long repair” and OOS into “short repair.” The operational question is what use must be prevented, for which dates and under whose control. A brief restriction may require a firm assignment block. A minor defect may need a different decision, made by someone with the authority and competence to assess it.

Build a decision record

Open a record whenever an issue could affect room assignment. The employee reporting the issue describes what they observed; they do not independently decide whether a technical risk is acceptable. Front desk identifies affected reservations and seeks the designated manager’s decision. Keep the incident reference attached so staff can find the supporting information.

An estimated end date supports planning; it does not certify that the room is ready. If the PMS provides automatic release, name the person who will review the situation before that point. When work is delayed, that person arranges an extension through the property’s authorised process.

Apply the block and inform the departments

  1. Describe the issue without an improvised diagnosis: location, observation and affected use.
  2. Have the competent manager confirm the protective measure.
  3. Apply the appropriate status and verify its effect on room assignment.
  4. Review arrivals, extensions and room moves that may be affected.
  5. Share the case reference and next update time with the relevant teams.

With the system owners, also test the flow to the CRS and relevant distribution channels: which state reaches them, when and with what effect? Check occupancy and revenue reporting separately. Calculation conventions and integration behaviour cannot be inferred from an OOO or OOS label. Agree a manual discrepancy check for any interruption in synchronisation.

The reservation owner communicates alternatives to the guest. Maintenance remains accountable for its intervention. The block connects these two workflows without making every team member a technical decision-maker. For the work itself, refer to the broader principles of hotel maintenance management.

Prepare the room’s return to service

Plan three separate confirmations: the competent department has completed the intervention; post-work preparation is finished; front desk may assign the room again. Required evidence depends on the incident. For a safety-related issue, the qualified person determines the necessary checks. This operational record does not replace that assessment or authorise staff to bypass it.

Check moved items, supplies that need replacing and guest requests still attached to the room. Closing the maintenance ticket can happen before closing the return-to-service record. Keep the latter open until the availability confirmation is complete. If one department has finished while another has not, show both facts rather than forcing a single premature “done” state.

Illustrative example: extending a planned end date

Room 318 is blocked until the following day, with a review scheduled before the recorded end. The contractor reports that work is incomplete. Maintenance records the update. Front desk has the authorised user extend the restriction, checks its effect in the PMS and arranges another assignment for the affected arrival.

Once the work is completed, housekeeping services the room and confirms preparation. The release owner checks the agreed evidence, approves the change and verifies the resulting room status. The original date remains in the history as a superseded estimate. This explains the delay without rewriting what the team knew earlier or suggesting that the original target was a confirmed completion time.

Frequently asked questions

Can an OOS room still be sold?

The code alone does not answer that question. Check whether OOS keeps the room in inventory and permits assignment in your PMS. If the hotel must prevent use, the authorised person applies the block designed to stop assignment and verifies the result.

Who may release a room block?

The property should designate an authorised role in its procedure and systems. That person relies on confirmations from the relevant departments. Reaching a date or receiving a “done” comment is insufficient when the agreed return-to-service conditions remain incomplete.
