Key points
- Verify the destination before starting the physical move.
- Agree what help the guest wants with personal belongings.
- Check both rooms and all open requests after the transfer.
Confirm the move and the destination
Front desk opens the record with the stay reference, original room, proposed destination and operational reason. Confirm the preferred timing, stated constraints and assistance needed with the guest. A suggested room change remains an option until the guest and the relevant departments have accepted the arrangements.
Check the destination’s actual availability, preparation status and expected equipment. With the PMS administrator, also confirm the intended status of the room being vacated and any updates required after the move. The final check covers both rooms; changing the assignment does not replace checking the condition of the original room.
Use one record to connect both rooms
The transfer owner maintains a single case. Each participant receives the information needed for their part, without automatically receiving every detail of the stay. This record extends front desk and housekeeping communication to an event that affects two rooms at the same time.
| Checkpoint | Suggested owner | Expected confirmation |
|---|---|---|
| Destination | Front desk and housekeeping | Room confirmed and ready |
| Personal belongings | Guest and requested team | Scope of assistance agreed |
| Stay transfer | Authorised front desk employee | New assignment verified |
| Open requests | Each request owner | Destination updated or action cancelled |
| Original room | Housekeeping and maintenance if needed | Observed condition and next action |
Add planned and actual times, plus a replacement owner if the move crosses a shift change. Do not use the room number instead of the stay reference: the room number is precisely the information changing during this operation.
Manage the transfer without an uncertain handoff
- Confirm the destination is ready and the receiving team understands the agreed arrangement.
- Explain the steps to the guest and agree any handling of personal belongings.
- Arrange access credentials through the front desk and lock-system procedure.
- Have an authorised employee perform the PMS move and verify the new assignment.
- Inform the owners of open requests and obtain confirmation of the necessary changes.
The exact order of access issuance, physical movement and system updates depends on local systems and procedures. Write it down before a live case occurs. If the move cannot finish immediately, identify who controls the temporary situation and which rooms must not be reassigned during that interval. A note saying “moving later” does not define those responsibilities.
Illustrative example: moving from 218 to 326
A guest agrees to move from 218 to 326. They prefer to carry their own belongings and request help with only one suitcase. Front desk records this agreement. Housekeeping confirms that 326 is prepared. The porter receives the exact scope of assistance rather than a broad instruction to move everything in the room.
An open pillow request still points to 218. Its owner changes the destination and obtains the runner’s acknowledgement, preventing delivery to the old room. After the guest settles in, front desk checks the assignment and access arrangements. Housekeeping checks 218 under the applicable entry rules and schedules the service it requires.
Check the original room before closing the transfer
The vacated room may need cleaning, a check for forgotten belongings or technical follow-up. Completion of the guest’s move does not establish that it is clean or available. Assign outstanding work to the competent departments and check whether a restriction on use remains necessary.
Close the transfer record when the new assignment, access arrangements, open-request routing and disposition of the original room are confirmed. If the guest decides against moving, record the cancellation, stop outstanding transfer actions and check both assignments. An abandoned destination arrangement should not remain confused with actual occupancy. Keeping the two-room record together helps the next shift see exactly which stages were completed.
Frequently asked questions
May staff move luggage while the guest is away?
Only within the agreement obtained, the hotel’s policy and applicable authorisations. Specify which belongings may be handled and by whom. If agreement is missing or circumstances change, return to the transfer owner for a decision.
Should open requests be recreated for the new room?
First review the existing cases and change their destination where the tool allows. If a new task is necessary, link it to the old one and ensure the obsolete action is cancelled with its owner. Preserve the useful history.
