Key points
- Verify actual occupancy and authorisation before arranging entry.
- Separate work instructions from sensitive access information.
- Distinguish work completed, contractor departed and apartment secured.
Confirm the assignment and unit availability
The coordinator verifies the unit reference, ordered work, contractor identity and agreed window. They confirm through the reference system or responsible manager that the apartment is vacant and entry is authorised. A guest being temporarily away should not be confused with a unit that is no longer occupied.
Record the next arrival and other scheduled work. If several contractors will be present, one owner coordinates attendance and final closure. Each company needs to know whether it is working alone or handing the apartment to another authorised person. These arrangements should be settled before travel rather than improvised after the first contractor arrives.
Complete a contractor visit record without exposed secrets
| Field | Useful content | Distribution boundary |
|---|---|---|
| Identification | Assignment and apartment references | Relevant participants |
| Work | Authorised scope and expected result | Contractor and coordinator |
| Window | Planned start, expected finish and next arrival | Relevant scheduling roles |
| Contact | Reachable owner for exceptions | Assigned contractor |
| Access | Approved procedure and handover channel | Authorised people only |
| Departure | Work, exceptions, securing and access return | Coordinator and unit owner |
Keep codes, credentials and other secrets outside widely shared boards. For digital accounts, NIST’s least-privilege principle limits rights to the task requirement. Physical access follows the property’s own procedure and the access device in use rather than being inferred from a software task assignment.
Obtain acknowledgement before the visit
The contractor confirms receipt of the scope, time window and coordination contact before travelling. The coordinator checks that the planned access method is available and that handover can be recorded under the local process. Assigning a task without acknowledgement does not prove that the company has all the information needed to carry it out.
On arrival, any mismatch in occupancy, identity or availability is reported before entry. The contractor should not search for another way into the apartment. The coordinator resolves the discrepancy with the appropriate manager or reschedules the work. The record should preserve the reason so another contractor is not sent into the same unresolved situation.
Manage an overrun before it affects arrival
In a fictional example, work is due to finish at 2 pm before final preparation for a 4 pm arrival. At 1:30 pm, the contractor reports that more time is needed. The coordinator checks the effect on cleaning, inspection and access handover, then agrees the next step with the relevant owners.
The contractor should not silently extend their presence. If work must stop, the report states the condition left behind and any restrictions. Technical and safety decisions remain with competent personnel. The contractor visit record communicates their conclusion without asking front desk to judge whether a repair itself meets technical requirements or can safely remain incomplete.
Collect three separate confirmations
The work report states what was completed, exceptions and useful supporting documents. Departure confirmation states that the company has left and whether another authorised person has taken custody. Closure confirmation records application of the agreed securing procedure and the return or appropriate handling of temporary access means.
A single form can capture these confirmations, but they remain three different facts. “Work completed” does not prove that the apartment is secured. A door photograph may contribute to the record, but it does not replace the check specified for the actual locking device or the property’s final handover procedure.
Close the assignment before releasing the apartment
The coordinator reconciles the work report, departure and closure. They transfer outstanding actions to the correct service and check whether preparation or inspection is needed before arrival. A contractor assignment can be complete while the apartment remains unavailable for another operational reason.
The access owner handles temporary permissions according to the system in use. Do not assume that changing a task status automatically revokes access. Closure retains evidence references and ownership of remaining exceptions, with distribution limited to the people who need the information to continue the operation and prepare the next authorised occupation.
The contractor visit record supports the wider workflow described in our guide to apartment rental operations.
Frequently asked questions
Should the access code be included in the task?
Use the channel approved by the property’s access policy. A broadly visible task can show that access has been prepared without displaying the secret. Check permissions and withdrawal arrangements before choosing where sensitive information will be stored.
Who confirms closure when two contractors work in sequence?
Name the owner of the final handover before the visits. Each transfer should be confirmed between authorised people. If the expected next contractor does not arrive, the coordinator decides which approved closure procedure must be followed.
